ABOUT THE ROLE & TEAM

The Proposal Specialist is responsible for the creation, formatting, editing and continual update of proposal grade language (known as boilerplate) as well as the maintenance of the proposal archive repository. This individual will also work within the bid team as requested to review and edit sections of the proposal to ensure that a succinct and singular message is carried throughout the entire proposal document.

You may be assigned to work specifically on proposal content or may be required to undertake a broader remit encompassing self-directed writing activities for the overall Bid Management team. To be successful you should be articulate, have excellent written communication skills, organizational skills, and be able to work under pressure to meet demanding deadlines.

Ultimately, an exceptional Proposal Specialist should be consistent, detail-oriented, illustrate the ability to operate within a team concept, and able to write in a factual, convincing manner mainly derived from a product subject matter expert.

Reporting to the Lead of Proposal Management you will be a part of the AMER Customer Solutions Team responsible for boilerplate and templates across the Americas region.

WHAT YOU’LL DO
  • Researching, writing, and organizing information in a professional and credible manner to build a content database of proposal-grade language.
  • Create timelines aligned with the Bid team.
  • Prepare the responsibility matrix based on the RFP requirements.
  • Conducting interviews with Subject Matter Experts.
  • Attending meetings and identifying opportunities for Proposal writing.
  • Prioritizing responsibilities to meet deadlines.
  • Editing and revising proposals according to feedback.
  • Maintaining consistency in Proposal writing by following company policies.
  • Working with engineering, project management, and operations personnel to create graphics and visuals for projects.
  • Manage the Proposal database
  • Coordinate with internal stakeholder (s) to ensure that bidding prerequisites have been met as part of the solicitation process (i.e., State Licensing and Registrations, etc.).
  • Have and in-depth understanding of Word and PowerPoint.
  • Help create strategies that help with the proposal development
  • Rewrite Proposal according to team feedback.
  • Write content with a consistent tone and message.
  • Strong organizational skills.

Qualifications:

ABOUT YOUR SKILLS
  • Recently graduated in Business Administration, Communications, Marketing or related field.
  • Excellent communication skills with expert fluency in reading, writing, and speaking English.
  • Previous experience in a Proposal Management area is a plus;
  • Skills in Microsoft Office (Word, PowerPoint, Visio, Outlook, Teams, other graphics tools) and Adobe Acrobat Professional.
  • Perform an MS Word Test. Ability to illustrate an exceptional use of MS Word.
  • Experience with content management software a plus but not required.
  • Basic understanding of the procurement/sales process a plus.
  • Ability to meet deadlines.
